In this role, you will be a member of our diverse Group Services team which houses Human Resources, Accounting/Finance, Marketing, Business Development, Information Technology, and Administration. We're not your average 'overhead' department, but instead, build creative strategies in line with business objectives while providing best-in-class support to the company at large... and we do so proudly.

 

We are currently looking for an Office Manager in our Murrieta, CA office. This role is geared towards an established Administrative professional with outstanding character!

Responsibilities

  • Answer phones, manage mail and greet clients upon arrival
  • Coordinate travel and complete expense reports for Team Members as needed
  • Assist in entering information into the CRM and be the "go to" person
  • Assist several departments on various small tasks: Contracts, Accounting, IT, Facilities
  • Maintain overall office appearance and organization, order supplies from various vendors
  • Check status of and order supplies as well as follow-up on orders as needed - Inventory office supplies
  • Manage office equipment
  • Maintaining order/organization of server files (ensuring copies of proposals, letters, contracts, etc. are all saved and in the right spot)
  • Set up conference calls and prepare for client meetings
  • Assistance with PowerPoint presentations - proofreading, printing, binding
  • Schedule meetings, appointments and conference calls internally
  • Assist with various management reports
  • Assist with proofreading proposals, printing/binding/shipping and then tracking them won/lost and
  • Assist with contracts - handle incoming and outgoing contracts
  • Coordinate set up for new hires
  • Plan and execute team social events

Qualifications

  • High school diploma required
  • Must have 5+ years of experience in an administrative function
  • Basic computer and software skills in Microsoft Word, Outlook, and Excel
  • Professional demeanor, strong work ethic, excels in a team environment, outgoing and friendly
  • Knowledge of Cosential, Concur and Deltek a huge plus
  • Some travel required (2-4X/year)
  • Ability to lift up to 25lbs
  • Contract experience a plus
  • Notary license preferred, or ability to a acquire the license
